Oral Connect (“we,” “us,” “our”) is an AI-powered CRM platform designed for dental clinics to manage patient leads, automate communication, and streamline workflows.

We are committed to protecting your privacy and complying with applicable data-protection laws, including the UK GDPR and EU GDPR.

1. Demo booking with Calendly

When you choose to book a demo, we load Calendly inside the website. Calendly receives the information you enter into its booking form and technical information needed to load its service. Its own cookie choices appear in the booking window. The calendar does not load before you click a demo button. You can also open the booking page directly. Please keep patient information out of demo bookings. See Calendly’s privacy notice.

2. Optional website analytics

With your permission, this marketing website uses Google Analytics to measure visits, pages viewed and engagement. The analytics tag loads only after you accept. We do not send contact-form fields, patient records, URL query strings or full referrer URLs as analytics event parameters. For links from our own LinkedIn posts, we may send a fixed, approved campaign label and whether it came from our founder or company page; arbitrary query values are discarded. Google processes technical and usage data when the tag runs and may store analytics cookies, including _ga identifiers, in your browser. Consented website events include fixed product-video identifiers, playback milestones and confirmations received from the embedded Calendly booking window. We do not send Calendly invitee details or booking identifiers to Google Analytics. Analytics is separate from the clinical platform. Use Cookie preferences to reject or withdraw permission; withdrawal stops future measurement and removes analytics cookies available to this website, but does not erase data already processed. 3. Information We Collect

Account Data: Name, email, clinic details, billing information.
Usage Data: Activity logs, IP addresses, browser type, device info.
Patient Lead Data: Information provided by your clinic, including name, contact details, and appointment records as entered into the CRM.
Call and Message Data: VoIP call metadata, transcripts, and AI-generated summaries for quality assurance and workflow automation.

4. How We Use Your Data

To provide and improve the Oral Connect platform.
To enable AI lead scoring and recommendations.
To support communication and appointment automation.
To comply with legal and regulatory requirements (HIPAA and GDPR where applicable).

5. Legal Basis for Processing

We process data under legitimate interest (for service delivery and analytics), contractual obligation (user accounts and billing), and consent (where required).

6. Data Retention

Data is retained for the duration of your subscription and deleted or anonymized within 90 days after account closure, unless a longer retention is required by law. If a user requests deletion of their data, we will process the request and permanently delete or anonymize the data in accordance with our retention policy and applicable laws.
